Personify: What does a Client Services Coordinator do on a daily basis?
Anna Cutchin: The daily activities of a Client Services Coordinator include scheduling interviews, coordinating travel, processing pre-employment assessments, creating offer letters, managing background/drug screen/vendor credentialing orders, and submitting candidate reimbursement request.
PFY: What is the most important part of your role?
AC: The main focus of a Client Services Coordinator is to create a seamless and worry-free experience for our clients and candidates by ensuring the interview, offer, and onboarding processes go smoothly and are completed in a timely manner.
PFY: What goes into your end of the onboarding process?
AC: For each process, the Client Services team integrates and functions within the client’s respective system (i.e. calendar/scheduling software, applicant tracking system, BG/DS vendor, and pre-employment testing/assessment tools). Although the onboarding process varies from client to client, the standard workflow involves initiating and monitoring background/drug screens: following up with candidates to expedite the process with needed; sending completed reports HR; creating and sending offer letters and any other forms (non-disclosure agreements, relocation information, etc.); and moving candidates through the applicant tracking system to appropriate statuses to initiate new hire paperwork.
Our team is very detail-oriented and process-driven, so we can act as on-demand extensions of our clients’ HR teams and manage high volumes of interviews and onboarding activities at a time.
PFY: How do you bridge the gap between clients/candidates and ensure the right information is transferred from candidates to clients?
AC: During the implementation phase of our partnerships with new clients, our team works with their HR department to create an optimized process for interview scheduling and onboarding. Whether the goal is to learn a process exactly as it exists and training our team to mirror it or working with the client to create a customized process for their workflow and needs, our team creates specific standard work(s) to ensure we are able to carry the process perfectly and to make sure nothing falls through the cracks.
